Order it. Receive it. Pay for exactly that.
Pay for what actually turned up, not what the order promised. Every vendor bill is checked against the receipt before you approve it, so the gap never lands on you.

You ordered 100. 96 turned up. The bill says 100.
Somewhere between the order, the loading dock and the invoice, quantities and prices drift. Unless someone checks every bill against every receipt by hand, you quietly pay for the gap.
The bill matches what actually arrived.
Receive the goods and the vendor bill is checked against the order and the receipt. A short delivery or a changed price shows before you approve it — so you pay for what turned up, not what you hoped would.
Runs low, and the order's already drafted.
When stock falls to its reorder point, a draft purchase order to the right vendor is already waiting for a nod. No weekly spreadsheet of what's running out.
The right vendor, at the right price.
Products carry their vendors and prices, so an order fills itself in with who you buy from and what you last paid — no digging back through old emails to check a rate.

Purchase order software, answered.
How does bill matching work?+
When a vendor bill arrives it is checked against its purchase order and the goods actually received — so any difference in quantity or price shows up before you pay it.
Can I bill for received quantities only?+
Yes. Set a purchase order to bill on received quantities, and a short or partial delivery only bills for what actually turned up — not what you ordered.
Can I self-host it?+
Yes — the Free edition runs on your own server, free, with your whole team on it. Prefer not to run servers? We host a managed cloud. Same product either way.
What happens to my data?+
It stays yours. Export it whenever you like, and the Free edition is free to self-host — so switching a tool never means switching vendors.
